Stop using separate AI chats that give your team different answers. SyncAI is a shared, multi-user AI workspace where your whole team thinks and works together.
We spent time in the field — talking to real students and workers — before we built anything.
The Miro Challenge asks: How might a new generation of workers change ways of working to foster innovation?
Stakeholders: University student groups, hybrid workplace teams, Gen Z workers entering organisations.
Organisation type: Mid-sized companies, universities, and study/meeting room environments where teams collaborate regularly.
Ways of working: AI-assisted, hybrid, and project-based collaboration — where alignment and shared context are critical but often missing.
Our interviews revealed a consistent and surprising pattern:
"I use ChatGPT, my teammate uses Claude, and we always get different answers. We waste 20 minutes just trying to figure out which advice to follow."
— 2nd year university student, group assignment"In meetings, half the team has already asked AI something privately. Everyone arrives with different assumptions. It creates more confusion than clarity."
— Knowledge worker, hybrid teamThree key stakeholder groups emerged from our research, each with distinct needs:
Need: shared AI context during group assignments. Concern: inconsistent answers causing confusion and conflict.
Need: alignment in AI-assisted meetings. Concern: siloed AI use deepening communication gaps in hybrid teams.
Need: structured AI governance for team use. Concern: ungoverned BYOAI culture creating liability and inconsistency at scale.
When three team members ask the same question to three different AI chats, they get three different answers. This creates conflicting directions, duplicated effort, and poor coordination — exactly when you need alignment most.
Built for how collaborative work actually happens today.
Every team member sees the same prompts, responses, and context. No more parallel conversations leading everyone in different directions.
Any member can speak to the AI during a discussion. The AI responds aloud to the whole group — like having a smart facilitator in the room.
The AI remembers your team's task, prior decisions, and discussion history. Start where you left off, every time.
Key discussion points, summaries, decisions, and action items are captured automatically as your team talks and types.
The AI helps break down complex tasks, suggests how to divide work, and keeps the group on track — like a built-in project facilitator.
From Miro boards to Google Docs — SyncAI will integrate with your existing tools, keeping your workspace connected and in sync.
Launch a SyncAI session from your phone, laptop, or study room screen. Share the link — your whole team joins in seconds.
All prompts, answers, and context are visible to every team member in real time. No hidden side conversations.
Type questions or speak directly to the AI in live voice mode. It responds to the whole team simultaneously.
SyncAI exports a structured summary of your session — decisions made, tasks assigned, and next steps defined.
Our partnership is built to respond to uncertainty with clarity and confidence.
Our partnership remains adaptable when faced with uncertainty. We've identified key scenarios where adjustments may be needed:
Technical Delays: If AI voice or sync features face development setbacks, we pivot to a text-first MVP while voice is refined in parallel.
User Adoption Resistance: If teams are slow to adopt, we introduce optional AI modes so members can ease in rather than commit fully from day one.
Privacy Concerns: If data regulations shift, we adapt with on-device processing and opt-in sharing models to maintain trust.
We've defined what risks are acceptable so we can move forward with confidence without overcommitting:
Time Investment: We've allocated 6 weeks for prototyping and user testing — a bounded commitment we consider an acceptable risk before evaluating viability.
Feature Scope: If advanced features like real-time transcription prove too costly, we accept launching with a reduced feature set — core value still delivered.
Pilot Failure: An unsuccessful first pilot is an acceptable outcome — we learn, iterate, and re-launch with better insight.
We don't just propose collaboration — we practise it.
Our team brings together a combination of skills that directly maps to what SyncAI requires:
Technical skills: Software systems, data modelling, and full-stack development — we built the SyncAI website from scratch as a live proof of concept.
User access: We are embedded in the exact communities SyncAI serves — university students doing group work — giving us direct access to real users for testing and iteration.
Research foundation: We conducted primary interviews with students and workers, grounding our solution in real evidence — not assumptions.
From day one, we chose collaboration over task division. Our process reflects the very problem we are solving:
Shared thinking: We didn't split tasks and merge them later. We discussed, debated, and decided together — the same alignment SyncAI brings to other teams.
Joint interviews: We conducted research as a team, synthesised findings together, and challenged each other's interpretations to arrive at stronger insights.
Transdisciplinary team: Five members across different academic backgrounds — this diversity of perspective is a strength, not a complication.
We are not just proposing a tool for collaborative AI — we are demonstrating it, in how we work together as a team every day.
— Tut#14 Partnership 3Our action plan connects to something bigger than a single product.
A world where no team is held back by fragmented tools or inconsistent information. Where every group — from a university study room to a global enterprise — has access to a shared intelligence that keeps them aligned, informed, and moving forward together. SyncAI is a step toward a future where AI amplifies collective human potential rather than isolating it.
As AI becomes embedded in everyday work, the risk is that it deepens inequality — those with better tools think better thoughts. SyncAI challenges this by making collaborative AI accessible to every team, not just individuals with premium subscriptions. Shared AI is more equitable AI. When teams think together with the same context, better decisions emerge — and better decisions shape a better society.
